Tour Booking Terms & Conditions

Welcome to SAS Motorcycle Tours.

These Terms & Conditions govern all bookings, enquiries, participation in tours, and use of services provided by SAS Motorcycle Tours (“we”, “our”, “us”).

By making a booking, paying a deposit, participating in a tour, or using our services, you agree to be legally bound by these Terms & Conditions.

1. Definitions

For the purposes of these Terms & Conditions:

  • “Tour” means any motorcycle tour, guided ride, event, package, or service organised by SAS Motorcycle Tours.
  • “Customer”, “Participant”, “Rider”, or “You” means any person making a booking or participating in a tour.
  • “Booking” means any reservation confirmed verbally, electronically, online, or in writing.
  • “Lead Rider” means the individual responsible for the booking where multiple participants are included.

2. Booking Requirements

Eligibility

Participants must:

  • Be at least 18 years old unless otherwise agreed in writing;
  • Hold a valid and appropriate motorcycle licence for the motorcycle being used;
  • Be legally permitted to ride in all relevant jurisdictions;
  • Have sufficient riding experience for the tour booked;
  • Provide accurate and complete information.

We reserve the right to refuse participation where we reasonably believe a rider lacks the necessary experience, ability, fitness, documentation, or safety awareness.

Booking Confirmation

A booking is not confirmed until:

  • A required deposit or full payment has been received; and
  • Written confirmation has been issued by SAS Motorcycle Tours.

We reserve the right to refuse or cancel bookings at our discretion.

3. Pricing and Payments

Pricing

All prices:

  • Are displayed in GBP unless otherwise stated;
  • May be subject to change before booking confirmation;
  • Include only the items specifically listed in the tour description.

Tour pricing includes:

  • A fully guided motorcycle tour;
  • Professionally planned routes and daily ride schedules;
  • A full tour itinerary;
  • Ferry transportation where applicable;
  • Shared ferry cabin accommodation where applicable;
  • Accommodation during the tour;
  • Breakfast at accommodation providers where included within the specific tour package.

Unless explicitly stated, prices do not include:

  • Flights;
  • Travel insurance;
  • Fuel;
  • Fines or penalties;
  • Personal expenses;
  • Alcoholic beverages;
  • Medical costs;
  • Motorcycle damage;
  • Visa or passport costs.

Deposits

For direct bookings made with SAS Motorcycle Tours, a minimum non-refundable deposit of £500 per person is required unless otherwise stated.

Deposits are non-refundable unless otherwise required by law.

A booking deposit secures your place and compensates us for administration, reservation commitments, and lost booking opportunities.

Where bookings are made directly with us, the remaining balance must be paid no later than 60 days before the tour departure date unless otherwise agreed in writing.

Final Payment

For bookings made directly with SAS Motorcycle Tours, the remaining tour balance must be paid no later than 60 days before departure.

Failure to make payment on time may result in cancellation of the booking without refund of deposits already paid.

PayPal Payments

We may offer PayPal as a payment option.

Where a customer chooses to complete a booking using PayPal credit, finance, instalments, or other PayPal-managed payment products, the payment agreement exists solely between the customer and PayPal.

In such cases:

  • Full payment shall be deemed received by SAS Motorcycle Tours at the point the PayPal transaction is successfully completed;
  • The booking will be treated as fully paid at the time of booking;
  • Any repayment terms, finance arrangements, interest, disputes, or payment obligations are solely governed by the customer’s agreement with PayPal.

SAS Motorcycle Tours accepts no responsibility for PayPal lending decisions, finance terms, repayment schedules, fees, or disputes arising between the customer and PayPal.

Payment Processing

We reserve the right to:

  • Reject payment methods;
  • Refuse bookings suspected of fraud;
  • Request identity verification.

Customers are responsible for any bank charges, currency conversion fees, or payment processing fees.

4. Cancellations by the Customer

Cancellation Requests

All cancellations must be made in writing.

Cancellation charges apply from the date written notice is received.

Standard Cancellation Policy

Unless otherwise stated for a specific tour:

  • Deposits are non-refundable;
  • Cancellations within 60 days of departure may be charged up to 100% of the tour price;
  • No refunds are available for unused services, missed departures, early departures, or voluntary withdrawal from a tour.

We strongly recommend comprehensive travel insurance.

Substitutions

Participant substitutions may be permitted at our discretion and may incur administration fees.

5. Cancellations or Changes by SAS Motorcycle Tours

We reserve the right to:

  • Cancel tours;
  • Modify itineraries;
  • Change routes;
  • Substitute accommodation;
  • Alter schedules;
  • Replace guides;
  • Adjust tour content.

Changes may occur due to:

  • Weather;
  • Safety concerns;
  • Mechanical issues;
  • Political instability;
  • Road closures;
  • Supplier availability;
  • Insufficient participant numbers;
  • Force majeure events;
  • Operational requirements.

Where reasonably possible, we will provide notice of significant changes.

If we cancel a tour before departure for reasons within our control, our liability shall be limited to refunding payments received for the affected tour.

We shall not be liable for additional expenses, including:

  • Flights;
  • Accommodation;
  • Vehicle hire;
  • Insurance;
  • Loss of earnings;
  • Consequential losses.

6. Force Majeure

SAS Motorcycle Tours shall not be liable for delays, cancellations, changes, injuries, losses, or failures caused by events beyond our reasonable control.

This includes but is not limited to:

  • Severe weather;
  • Natural disasters;
  • War;
  • Civil unrest;
  • Pandemics;
  • Government restrictions;
  • Border closures;
  • Industrial disputes;
  • Mechanical failures;
  • Accidents;
  • Supplier failures;
  • Terrorist activity;
  • Medical emergencies.

In such circumstances, refunds, credits, or rescheduling shall be entirely at our discretion unless otherwise required by law.

7. Travel Insurance

Participants are strongly advised, and may be required, to obtain suitable travel insurance covering:

  • Motorcycle riding;
  • Medical treatment;
  • Repatriation;
  • Personal liability;
  • Cancellation;
  • Theft;
  • Accident damage.

Participants remain personally responsible for ensuring their insurance is appropriate.

We reserve the right to refuse participation where insurance requirements are not met.

8. Health, Fitness, and Safety

Participants confirm that they:

  • Are medically and physically fit to participate;
  • Understand the risks associated with motorcycle touring;
  • Will ride responsibly and lawfully;
  • Will comply with instructions from guides and staff.

Participants must disclose any medical conditions, injuries, disabilities, allergies, or other relevant issues that could affect safety.

We reserve the right to refuse participation or remove participants from a tour where safety concerns arise.

No refunds will be issued where removal results from unsafe, unlawful, reckless, or disruptive behaviour.

9. Rider Responsibilities

Participants are solely responsible for:

  • Their riding decisions;
  • Compliance with road laws;
  • Their motorcycle condition;
  • Possession of valid documentation;
  • Personal belongings;
  • Fuel and operational costs unless included;
  • Fines, penalties, or legal violations.

Participants must:

  • Ride within their ability;
  • Wear suitable protective riding gear;
  • Follow local traffic laws;
  • Maintain safe riding behaviour;
  • Avoid alcohol or drugs while riding.

We reserve the right to remove any participant whose behaviour creates safety, legal, or reputational risks.

10. Motorcycles and Equipment

Unless explicitly included:

  • Participants are responsible for supplying and maintaining their own motorcycle;
  • Motorcycles must be roadworthy, insured, taxed, and legally compliant.

Participants remain fully liable for:

  • Mechanical failures;
  • Damage;
  • Theft;
  • Recovery costs;
  • Repair costs.

We accept no liability for motorcycle damage, breakdowns, or equipment failure.

11. Accommodation and Third-Party Services

Accommodation, restaurants, ferries, activities, and other services may be provided by independent third parties.

While we aim to work with reputable providers, we do not control third-party services and accept no liability for:

  • Service failures;
  • Food quality;
  • Delays;
  • Accommodation issues;
  • Supplier insolvency;
  • Acts or omissions of third parties.

12. Assumption of Risk

Motorcycle touring involves inherent risks, including serious injury, permanent disability, and death.

By participating, you acknowledge and voluntarily accept these risks.

Participants ride entirely at their own risk.

Nothing in these Terms excludes liability where exclusion is prohibited by law.

13. Limitation of Liability

To the fullest extent permitted by law, SAS Motorcycle Tours shall not be liable for:

  • Indirect or consequential losses;
  • Loss of enjoyment;
  • Loss of income;
  • Travel disruption;
  • Property damage;
  • Personal injury arising from participant negligence;
  • Actions of third parties;
  • Mechanical failures;
  • Weather-related disruptions.

Our maximum aggregate liability shall not exceed the total amount paid directly to us for the relevant tour.

Nothing in these Terms excludes liability for:

  • Death or personal injury caused by negligence;
  • Fraud;
  • Any liability that cannot legally be excluded.

14. Photography and Media

We may take photographs or videos during tours for:

  • Marketing;
  • Social media;
  • Website content;
  • Promotional materials.

By participating, you grant SAS Motorcycle Tours permission to use such media without compensation unless you notify us otherwise in writing before the tour.

15. Data Protection

Personal information will be handled in accordance with our Privacy Policy.

Participants consent to the processing of personal information necessary for:

  • Bookings;
  • Tour operations;
  • Emergency response;
  • Legal compliance.

16. Complaints

Any complaints should be raised as soon as reasonably possible during the tour to allow an opportunity for resolution.

Formal complaints must be submitted in writing within 14 days of the end of the tour.

17. Intellectual Property

All website content, branding, logos, tour materials, itineraries, photographs, and written content remain the intellectual property of SAS Motorcycle Tours unless otherwise stated.

Unauthorised copying, reproduction, or commercial use is prohibited.

18. Website Use

Users agree not to:

  • Misuse the website;
  • Attempt unauthorised access;
  • Upload malicious software;
  • Use the website unlawfully.

We reserve the right to suspend or restrict access where misuse is suspected.

19. Governing Law and Jurisdiction

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

20. Severability

If any provision of these Terms is found unenforceable, the remaining provisions shall continue in full force and effect.

21. Entire Agreement

These Terms & Conditions, together with our Privacy Policy and any written booking confirmations, constitute the entire agreement between the parties.

23. Acceptance of Terms

By making a booking, paying a deposit, participating in a tour, or using our website, you confirm that you:

  • Have read these Terms & Conditions;

  • Accept these Terms in full.
